Registration Rules & Paper Presentation

Only papers with registered authors will be eligible for presentation at SEPOC 2026 and for inclusion in either the IEEE Xplore Digital Library or the SEPOC 2026 Virtual Proceedings.

To be included in the conference program, each paper must be associated with a full conference registration (IEEE Member, SOBRAEP Member or Regular) by October 4th.

* One full registration allows an author to link up to two papers without any additional fee. Starting from the third paper, an extra-paper fee of R$ 150,00 will be charged (Limited to one extra-paper per full registration).

What is included?

Full Registration & Postgraduate Student: Congress Folder with all promotional materials, access to the entire technical program, coffee breaks, Opening Cocktail and Celebration Dinner.
Undergraduate Student: Congress Folder with all promotional materials, access to the entire technical program, coffee breaks and Opening Cocktail. (*Extra ticket required for dinner).
Day Registration: Congress Folder with all promotional materials, access to conference sessions, exhibit hall and coffee breaks for selected day.

Refund Policy

Refund requests will be considered on a case-by-case basis. Participants who wish to request a refund must contact the organizing committee as soon as possible by email at sepoc2026@gmail.com or sepoc@ufsm.br.

Full Refund Policy

A full refund (100% of the registration fee) will be granted for both Early-Bird and Late Registration categories if the cancellation request is submitted within 48 hours after payment confirmation.

Early-Bird Registration

For registrations completed during the Early-Bird registration period, a partial refund of 50% of the registration fee will be granted for cancellation requests submitted after the initial 48-hour period, provided that the request is made no later than 20 days before the event.

Late Registration

For registrations completed during the Late Registration period, no refunds will be issued after the initial 48-hour period following payment confirmation.

No refunds will be issued for:

Cancellation requests submitted outside the conditions described above;
Failure to attend the event (no-shows);
Requests submitted after the beginning of the event.

Please include the participant's full name, registration details, and the reason for the cancellation request in the email request.

The organizing committee reserves the right to evaluate each request individually and make the final decision regarding eligibility for reimbursement.
